Whenever you request an extract (or when the system decides you need one) you will be presented with a dialog box to save or open a file of type text/csv, even though the extract is actually a tab-delilited file.  You want to save these extracts as (something).tab in a folder that is appropriate for archiving.  When you delete a record you will be prompted to save an extract of the deleted files, when you request and extract you will be prompted to save it, and when you import records and some of them have failed, you will be prompted to save an extract.  All the extracts will open in excel or a similar spreadsheet application.
